Packaging Sells the Product Before It's Opened
For wholesale buyers supplying retail chains, ecommerce platforms, or their own branded stores, packaging is not an afterthought — it is the product as the consumer first sees it. A well-packaged balloon set on a retail pegboard competes with every other SKU in the party aisle. Poor packaging means the product never leaves the shelf.
This guide covers retail packaging formats, specifications, and requirements for party supplies imported from China, with a focus on practical specs you can include in your RFQ.
Packaging Formats by Retail Channel
Pegboard Hang Packs
The standard for party supply retail. A printed header card with a hang hole, with the product sealed in a clear polybag below. Used for balloons, bunting, small decorations, and favor bags. Key specs: header card dimensions (standard 4×6 inch or 5×7 inch), hang hole diameter (standard 6mm), cardstock weight (300–350 gsm), and polybag thickness (standard 30–50 micron).
Printed Retail Boxes
For premium sets, coordinated collections, and gift bag packs. Full-color printed box with product window (optional), barcode, and brand information. Key specs: box dimensions, paper weight (standard 300–400 gsm), finish (matte/gloss lamination), and insert tray if needed.
Shrink-Wrapped Bundles
Multi-count packs of napkins, plates, or cups in clear shrink film with a printed paper band. Lowest packaging cost, simple but effective for value product lines.
PDQ (Product Display Quick) Trays
Shelf-ready corrugated trays that ship flat, are set up in seconds, and hold 12–48 units for retail display. Used by large retail chains for fast aisle restocking. Requires specific dimensions matching the retailer's shelf planogram.
Barcode and Labeling Requirements
Every retail-packaged party supply item needs a scannable barcode:
- UPC-A (12-digit): Standard for US and Canada retail
- EAN-13 (13-digit): Standard for Europe and most international markets
- Placement: On the back or bottom of the package, in a flat, non-curved area, with quiet zone (blank space) around the barcode
- Size: Standard 80% magnification (roughly 30×20mm for UPC-A) — any smaller and scanners may not read reliably
Provide the factory with your UPC/EAN codes as part of the artwork package. Test scan a production sample before bulk production begins. A barcode that doesn't scan at the retail checkout is a costly return.
Legal Labeling by Market
United States
- Country of origin marking: 'Made in China' on product or packaging (required by 19 USC 1304)
- CPSIA tracking label: For children's products (including children's party items) — manufacturer name, location, production date, batch number
- Choking hazard warning: Required for balloons and small parts sold as children's items
- ASTM F963 compliance statement if applicable
European Union
- CE marking for toys (if party items are classified as toys under EN 71)
- Manufacturer/importer name and address on the product or packaging
- REACH compliance documentation (not printed on packaging but must be available)
- Language requirements: Warnings and instructions in the official language(s) of the country of sale
Private Label Packaging Workflow
For buyers building their own brand on party supplies, the packaging workflow is:
- Provide your logo, brand colors (Pantone), and any existing packaging design files
- Factory creates packaging die-lines for each product format and sends for approval
- You place artwork into die-lines (or factory's designer does it — confirm cost)
- Factory produces packaging samples (3–5 days) for physical review
- Approve packaging samples before bulk packaging production begins
- Factory produces bulk packaging alongside bulk product production
Key tip: Ask for packaging samples separately from product samples. Packaging issues (wrong dimensions, color shift, barcode placement) are easier to fix when they haven't been produced at bulk quantity.
Carton Marks and Master Cartons
Beyond retail packaging, specify master carton requirements:
- Carton marks: Your company name, PO number, item number, quantity per carton, carton dimensions, gross/net weight, country of origin
- Carton quality: Double-wall corrugated for sea freight; single-wall acceptable for lightweight items
- Palletization: Standard 48×40 inch GMA pallet for US; 1200×800mm Euro pallet for EU
Clear carton marks prevent warehouse receiving errors — a carton that can't be identified at the dock costs time and money to resolve.
